Privacy Notice

This notice explains what personal information RoadForms collects, why, and what happens to it afterwards — in plain language, in line with the Protection of Personal Information Act (POPIA).

What we collect

To generate a correctly-completed RTMC/NATIS document on your behalf, we ask for the details that document legally requires — this can include your name, ID number, contact details, address, and vehicle details, depending on which document you're completing. If you use the scan feature, the photo you take of your ID or licence disc is sent to our server over an encrypted connection solely so its barcode can be read; it is processed in memory and not saved.

Why we collect it

Solely to generate the document you've asked for, and — if you give us an email address — to deliver it to you. We don't use your information for marketing, and we don't sell or share it with anyone beyond what's described below.

How long we keep it

As little as possible. Your details are used to generate your document for that one transaction, and are not stored in any database afterwards — we don't keep a record of past submissions. We do keep a simple payment record for 60 days, so we can make sure you receive what you paid for: the payment reference, which form it was for, the amount, the time, and whether the document was delivered. It contains no personal details, and is then automatically discarded. If a payment goes through but we can't deliver your document, we use the email address you gave Paystack to send you a single-use code for a free copy. We don't keep that email address ourselves, and we keep only a scrambled (hashed) version of the code, for 30 days. To stop people guessing codes, we briefly (for up to an hour) count code attempts per scrambled network address. Your browser also keeps one payment reference for up to 7 days, so you can get your document if the page closes after you pay.

Who else processes your information

Three service providers handle parts of this transaction on our behalf: Paystack, who processes your payment securely, Resend, who delivers your document by email if you choose that option (and sends the automatic code email described above), and Upstash, who stores the payment record and code described above on our behalf. None of them uses your information for anything beyond completing your transaction.

Anonymous visit statistics

To see how many people visit RoadForms and which pages they use, we use Vercel Web Analytics. It does not use cookies and does not follow you across other websites. It records anonymous, page-level information (the page visited, the site you came from, your country, and the type of browser and device), plus a few anonymous step counts, such as that a scan or a payment was started or completed and for which form, and never the details you type into our forms, such as your name or ID number.

Your rights

You can contact us at any time with questions about your information, or to raise a concern, at support@roadforms.co.za. You also have the right to lodge a complaint with South Africa's Information Regulator if you believe your information has been mishandled.
